Email template to request house cleaning quotes

You want a cleaner, either once for a deep clean or on a regular schedule, and you want a price you can compare. Cleaning companies quote by the hour, by the visit, or by the square foot, and the number depends on how many bedrooms and bathrooms, whether you have pets, and how deep the first clean needs to be. The first visit is almost always priced higher than the ones after it. Telling every company the same thing by email gets you quotes you can lay side by side, and the written quote is what you point to if the first invoice comes in higher. It also lets you ask the questions people forget to ask on the phone: who brings supplies, whether the cleaners are employees or contractors, and what happens if something breaks.

Before you send

  • The home: square footage if you know it, number of bedrooms and bathrooms, floors, and whether there are pets.
  • What you want: a one-time deep clean, or a regular clean every week, two weeks, or month. If regular, whether you want a deep clean first.
  • Any specifics: inside the oven and fridge, windows, baseboards, laundry folded, a particular room skipped. These change the price, so name them.
  • How they get in. You home, a lockbox, a key. Say which so they can tell you their policy.
  • Your rough budget, if you have one. It helps a company tell you quickly whether they are a fit.

- The price for the first visit and for each regular visit after that
- Whether that's flat or hourly, and how many cleaners come
- Whether you bring supplies and equipment
- Whether your cleaners are insured and bonded, so I'm covered if something is damaged or missing
- How cancellations and rescheduling work

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • A good reply has a first-visit price, a recurring price, and answers the insurance question directly. Some companies want to do a walkthrough first; that is reasonable for a large home.
  • If a quote is much lower than the others, ask how long they expect the first visit to take and how many cleaners. A two-person crew for one hour will not deep clean a three-bedroom house.
  • Insured and bonded is not a formality. If the answer is vague, ask for the name of their insurer. A real company will send it.
  • Before the first visit, reply to confirm the price, the date, the list of what is included, and how they are getting in. The cleaners will work from that list.
