Email template to ask a cleaning service to redo work they missed

A cleaning crew came, you paid, and then you found the bathroom floor untouched, dust on every baseboard, or the inside of the microwave exactly as it was. Most reputable cleaning companies have a redo policy: if you tell them within a day or two, they will send someone back to finish the job for free. Calling can turn into a debate about what "deep clean" means. An email with a short list and a few photos, sent while the visit is fresh, is hard to argue with and gives the company a clear checklist for the return visit. It also creates a record if you later need to ask for a partial refund.

Before you send

  • The date of the visit, who came if you know their names, and what service you booked (a standard clean, a deep clean, a move-out clean). Check the booking confirmation for what it promised.
  • A specific list of what was missed or done poorly, room by room. "The kitchen wasn't clean" gets you nothing; "the stovetop grates were not wiped and the floor under the table was not mopped" gets you a redo.
  • Photos taken right after the visit, before anyone in the house has used the room.
  • How much you paid and how, so you can ask for a partial refund if they will not come back.
  • Two or three days and times you could let a crew back in.

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • A good company replies the same day and offers a return visit within the week. When the crew comes back, hand them a printed copy of your list.
  • If they offer a discount on the next clean instead, that is a fair answer only if you plan to use them again. Otherwise ask for the refund.
  • If they say the items were not part of the package, check your booking confirmation and quote it back to them. If it really was not included, let it go and book the right service next time.
  • If you get silence for three or four days, send one short follow-up. After that, a dispute with your card company is the next step if you paid by card.
