Email template to request a group reservation at a campground
You are organizing a camping trip for a family reunion, a scout troop, a church group, or a few families who want to be near each other. Booking one site at a time online rarely works for a group: the sites end up scattered, the group area does not show up in the online calendar, or the rules on how many people and cars fit on one site are buried in a PDF.
Emailing the campground office gets you a human who can block adjacent sites, quote the group rate, and tell you what the group area actually includes. It also leaves you with a written quote and a list of rules you can forward to everyone in the group, which saves you from relaying it all by text.
Before you send
- Your dates, with a backup weekend if you have one. Group areas at popular campgrounds book out months ahead, especially summer weekends and holidays.
- A realistic headcount and how it breaks down: how many tents, RVs or trailers, and cars. Most sites cap people and vehicles, and this determines how many sites you need.
- What your group needs: electric and water hookups for RVs, a picnic shelter, a fire ring big enough for the group, a bathhouse within walking distance, or ADA access for anyone who needs it.
- Whether you want one person to pay for everything or each family to pay separately. Campgrounds handle this differently and it is easier to settle up front.
- Any activity you are planning, such as a large campfire, a potluck, or a small ceremony. Some campgrounds require a heads-up or a permit for gatherings over a certain size.

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.
After you send
- A good reply lists which sites or which loop they can hold, the nightly rate per site, the deposit, and the cancellation deadline. Read the cancellation terms closely; many campgrounds keep the full deposit inside 14 or 30 days.
- If they can only offer scattered sites, ask whether a different loop or a different weekend would put you together. Adjacent sites matter more to a group than a nicer view.
- If they say the group area is first-come, first-served, ask whether they will at least note your group and how early people typically arrive to get it. Then decide if the risk is worth it or you should book individual sites.
- If you hear nothing in four or five days, call once. Small campground offices are often one person who is out on the grounds most of the day.
