Email template to ask a campground about its facilities

The website says "full hookups" and "modern restrooms," but you need to know whether the 50-amp electric will run your air conditioner, whether the showers are hot and free, and whether the site will actually fit a 34-foot trailer plus a truck. Or you are tent camping and want to know about shade, distance to water, and whether the campground gets loud on weekends.

A quick email gets straight answers from someone who walks the grounds every day. It also gives you a written record: if you arrive and the "pull-through site" turns out to be a tight back-in, the reply saying otherwise is what gets you moved or refunded. Reviews are hit-or-miss; the office knows.

Before you send

  • Your dates and the kind of setup you have. A 40-foot fifth wheel, a pop-up camper, or two tents each raise different questions.
  • The electric service you need. RV plugs come as 30-amp or 50-amp, and running two air conditioners on 30 amps will trip the breaker.
  • Anyone in the group with special needs: a dog, a wheelchair, a child who needs a nearby bathroom, a medical device that needs power all night.
  • What matters most to you. Pick your top five questions rather than sending twenty; a focused email gets answered, a long one gets skimmed.
  • Whether you will need to work or stay reachable. Cell signal and Wi-Fi vary enormously and are rarely described honestly on a website.

- Site size and access: do you have [pull-through / back-in] sites that fit [length] feet plus a tow vehicle, and are the roads paved or gravel?
- Hookups: are [50-amp / 30-amp] electric, water, and sewer available at the site, or is there a dump station only?
- Bathrooms: are the showers hot, and is there a fee or a token system?
- Cell and Wi-Fi: which carriers get a usable signal at the sites, and is the Wi-Fi strong enough for [video calls / basic email]?
- [One more question that matters to you, for example: are dogs allowed on the trails, and is there a quiet-hours rule enforced on weekends?]

If there's a particular site or loop you'd recommend for our setup, I'd take the suggestion. I'm hoping to book by [date], so a reply before then would be a big help.

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • A helpful office answers each question and often suggests a site number. Ask them to hold that site or book it directly by reply so the recommendation and the booking are in the same thread.
  • Vague answers like "most rigs fit fine" or "signal is okay" are a sign to push once: "What's the longest rig you've had on the site you're suggesting?" A specific answer to a specific question is what you want.
  • If the answers reveal a deal-breaker, thank them and move on. A campground that is honest about weak cell signal is doing you a favor.
  • Keep the reply on your phone for arrival. If the site does not match what you were told, show the office the email right away rather than after a night of trying to make it work.
