Email template to reserve a park pavilion or picnic shelter
You are planning a birthday party, a family reunion, a team picnic or a company cookout, and you want a covered shelter in a public park with tables and a grill. Most city and county parks departments rent pavilions by the day or half day for a small fee, and on a nice weekend the good ones are booked weeks out. A pavilion you have not reserved belongs to whoever arrives first.
Some departments take reservations only through an online form, but many still handle them by email, and even the ones with a form need email for anything unusual: a bounce house, a food truck, a group over a certain size. Writing gives you the confirmation, the receipt and the rules in one thread you can show a park ranger if anyone questions your spot.
Before you send
- The park and the specific pavilion if you know it. Parks list shelters by name or number, and they differ in size, shade, and distance from parking and restrooms.
- The date, a backup date, and the hours. Reservations often run in set blocks, such as morning, afternoon or all day.
- Your headcount. Pavilions have a listed capacity, and larger groups may need a permit instead of a simple reservation.
- What you plan to bring: a grill, a tent, a bounce house, amplified music, alcohol. Each of these is allowed in some parks and banned in others.
- Whether anyone in your group needs an accessible path, a paved surface, or restrooms close by.
Hi [parks department or reservations office], I'd like to reserve a pavilion at [park name] on [event date] for [type of event, for example "a family reunion"]. We expect about [number] people, and I'd like the shelter from [start time] to [end time]. If that date is taken, [backup date] would also work. If possible I'd prefer [pavilion name or number, or "a shelter close to the restrooms and parking"]. We're planning to bring [a charcoal grill / a small canopy tent / a bounce house / a portable speaker], so please let me know if any of that needs separate approval. Could you tell me whether the pavilion is available, the fee and how to pay it, and send me the rules for the shelter? I'd like to confirm the reservation by [date]. Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.
After you send
- Most parks offices reply within a few business days with availability, a fee and a link or form to pay. Your reservation is real when you have a receipt or permit with the date and shelter on it; print it and bring it to the park.
- If they ask you to use the online system instead, do it and reply with the confirmation number so the unusual items you mentioned get flagged to the right person.
- A bounce house or a food vendor almost always means a separate permit, sometimes proof of the vendor's insurance. Start that the same week; it can take longer than the reservation.
- If the pavilion you want is gone, ask which other shelters are open that day rather than just picking a different date. Staff know which ones are comparable.
