Email template to book a salon for a wedding party

You are getting married, or organizing for someone who is, and you need hair done for the bride and several bridesmaids, mothers, or flower girls on the morning of the wedding. Salons book wedding parties months ahead, they often send stylists to the venue for an extra fee, and the schedule has to work backward from the ceremony time. That is more than a phone call can pin down.

Send an email so the salon can check the date, count stylists, and come back with a written quote and a timeline. You want to know the per-person price for each service, whether a trial run for the bride is included or extra, the travel fee if they come to you, the deposit, and what happens if the headcount changes. Having it in writing also means the bridesmaids can see what they are each paying.

Before you send

  • The wedding date, the ceremony time, and where everyone will be getting ready. From that, the salon works out the start time, which for a large party can be very early.
  • The headcount by service: how many updos, how many blowouts, any flower girls, and whether the bride wants a trial. A rough number is fine but say it is rough.
  • Whether you want the party at the salon or the stylists on site. On site is more convenient but costs a travel fee and sometimes a minimum headcount.
  • Your budget per person, or in total, if you are comfortable sharing. It helps the salon suggest which services fit.
  • Any inspiration photos for the bride's look, and any hair situations the salon should know about, such as very long or thick hair, extensions, or veils.

In the quote, could you include the price per person for each service, the cost of the bridal trial, the travel fee if you come to us, how many stylists you'd send, the time you'd need to start so we're done by [time], the deposit amount, and your policy if one or two people drop out?

I'm hoping to confirm by [date], so a reply by then would be great. I've attached a couple of photos of the look I'm after.

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • Expect a reply within a few business days with a quote and a proposed start time. If the salon only sends a price list, write back and ask for the totals and the timeline for your specific party.
  • Book the bridal trial as soon as you accept, ideally a month or two before the wedding, and take photos of the result from all sides so the day-of stylist can match it.
  • Read the deposit and headcount terms carefully. Many salons charge the full quoted headcount if someone drops out within a few weeks of the date, so get final numbers from your party early.
  • If the salon cannot do the date or the price is beyond your budget, send the same email to one or two others. Wedding hair pricing varies a lot between salons in the same city.
