How to email a hotel to ask for late checkout
Your flight leaves in the evening, your event runs past noon, or you just want a slower morning. Checkout is usually 11 a.m. or noon, and most hotels will stretch that by an hour or two if you ask ahead and the hotel is not full that night. Some charge a fee for anything past 2 p.m., and a few will let you keep the room until 4 p.m. if you hold elite status in their loyalty program.
Asking by email a few days before you arrive is better than asking at the desk on the morning you leave. By then housekeeping has already been scheduled around your room, and the desk clerk has less room to say yes. An email reply is also proof: if you come down at 2 p.m. and a different clerk wants to charge you an extra night, you can show them the message.
Before you send
- Your confirmation number and the checkout date. The hotel needs both to note your reservation.
- The time you actually need. Ask for what you need, not the latest possible; a 1 p.m. request gets a yes far more often than 4 p.m.
- A real reason. "My flight is at 7 p.m." or "the wedding brunch ends at 1" gives the hotel something to say yes to.
- Your loyalty number if you are a member of the hotel's program. Some tiers include guaranteed late checkout, and the front desk will not always check.
- Whether you would pay a fee. If a half-day rate is acceptable to you, say so; it removes the reason for a no.
Hi [hotel name] front desk, I'm staying with you from [check-in date] to [checkout date] under confirmation number [confirmation number], and I'd like to ask for a late checkout on [checkout date]. Would it be possible to check out at [time you need] instead of the standard [standard checkout time]? [Your reason, for example: my flight doesn't leave until 7 p.m., and I'd rather not sit at the airport for six hours.] I'm a [loyalty tier, or delete this sentence if you are not a member] member, number [loyalty number]. If the extra time comes with a fee, please let me know what it would be so I can decide. Could you confirm by reply so I have it in writing for the morning of checkout? Thanks very much. Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.
After you send
- Most hotels reply within a day, either confirming the time or offering a compromise like 1 p.m. instead of 2. A compromise is usually worth accepting.
- If they say they cannot promise anything until the day before, that is normal. It means they need to see how full the hotel is. Reply and ask them to note the request on your reservation, then ask again at check-in.
- If you get a no and the reason matters to you, ask whether they can hold your bags and let you use the pool or lobby after checkout. Almost every hotel will do that for free.
- On the morning you leave, mention the confirmed time when you go down for breakfast. Housekeeping sometimes gets the old time; a reminder avoids a knock at 11.
