Email template to request a one-time yard cleanup quote

The yard has gotten away from you. Maybe you just bought the house, or a season went by, or a storm left branches everywhere. You do not want a weekly service; you want one crew to come, clear it, and leave with the debris. A one-time cleanup is priced by how much there is to remove and how long it takes, so the quote depends on you describing the mess honestly. Companies often charge a separate fee for hauling debris away, and some charge by the truckload. Asking by email with photos means the landscaper sees what they are quoting and the number they give you is the number you pay.

Before you send

  • Photos from several angles, including the worst parts. Under-describing the yard is the main reason cleanup bills run over the quote.
  • A list of what needs doing: mowing overgrown grass, cutting back shrubs, pulling weeds from beds, raking and removing leaves, picking up branches, clearing a specific area.
  • Whether you want debris hauled away or piled for city pickup. Hauling costs more; say which you want.
  • Any hazards: poison ivy, a wasp nest, a hidden drainage grate, a fence in poor shape. Crews price for the unknown if you do not tell them.
  • The date you need it done by, especially if there is a reason (a party, a listing photo, a code notice from the city).

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • A good quote names one price for the job, shows haul-away separately, and gives a date. Some companies quote hourly with an estimated crew size and hours; that is fine if they cap it.
  • A bad quote says "starting at" with no top number, or "we'll see when we get there." Ask for a not-to-exceed price. If they will not give one, pick another company.
  • If the crew arrives and says it is more than they expected, they should stop and get your agreement before doing more. Confirm any change by text or email before they continue.
  • Once the work is done, walk the yard before paying. If something on your list was skipped, say so before the truck leaves.
