Email template to request lawn care quotes from several companies

You want someone to mow, edge, and keep the yard in shape on a schedule, and you want to know what it costs before anyone shows up. Lawn care pricing depends on things a company cannot see from a phone call: the size of the lawn, how much of it is fenced or on a slope, whether there are beds to keep clear, and how often you want them to come. If you give every company the same description, the quotes are comparable. If you call each one, you will describe the yard four slightly different ways and get four numbers that mean different things. This email is the one description, sent to everyone.

Before you send

  • The size of the yard. Your county assessor's website usually lists the lot size, and a rough guess of how much is lawn (for example, "quarter-acre lot, about half of it grass") is enough.
  • What you want done each visit. Mow, edge along walks and driveway, trim around beds and fences, blow off hard surfaces, and whether they take clippings away.
  • How often: weekly, every two weeks, or a seasonal schedule. Say when you want to start and stop.
  • Anything that changes the job: a locked gate, a dog, steep sections, sprinkler heads, a lot of trees to trim around.
  • One or two photos of the front and back. It saves a visit and gets you a number faster.

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • Most companies reply within a day or two with a per-visit price or ask to drive by. Both are fine. A reply that only says "call us" is not worth chasing.
  • Compare the per-visit price at the same frequency. Every-two-weeks visits often cost more per visit than weekly because the grass is taller. Ask if the price changes when it rains for a week.
  • Ask about the contract terms. Some companies want a season-long commitment; others are month to month. Month to month is safer for the first season.
  • Once you pick one, reply to confirm the price, the start date, and what is included, so the first invoice does not surprise you.
