Email template to report furniture that arrived damaged
The couch came with a torn arm, the dresser has a gouge down one side, or a table leg is split. Furniture stores handle damage claims every day, but they handle them on a clock: most want to hear about it within 24 to 72 hours of delivery, and the delivery paperwork you signed may say the item arrived in good condition. An email sent the same day, with clear photos and the order number, beats that clock and puts the facts on record. It also lets you ask for one specific fix, a replacement, a repair, or a discount to keep it, instead of being routed through a phone tree.
Before you send
- Your order number, the delivery date, and the name of the delivery company if it was not the store's own truck.
- Photos of every damaged spot, plus one wide shot of the whole piece and one of the packaging if you still have it. Take them before you move the item again.
- What you signed at the door. If the driver's form says "received in good condition," note whether you had a chance to inspect it and whether you wrote anything on it.
- What you want: a replacement, a repair by a technician, or a partial refund to keep the piece as is. Decide before you write.
- Your delivery address and a phone number for the store's claims team.
Hi [store or customer care team], My [item, e.g. three-seat sofa in gray fabric] from order #[order number] was delivered on [date] to [address]. When I unpacked it, I found [describe the damage plainly, e.g. a four-inch tear on the left arm and a cracked front leg]. Photos are attached, including the packaging. [The driver did not give me time to inspect the piece before signing / I noted the damage on the delivery form at the door.] I'd like [a replacement of the same item / a repair by your technician / to keep the piece with a partial refund of amount], whichever you can arrange soonest. Please let me know the next step and whether you need the damaged piece back. Since most stores ask for damage reports within a few days, I'm sending this the same day. I'd appreciate a reply by [date, two or three business days out]. Thanks, [Your name] [Your phone number]
Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.
After you send
- Expect a claims form or a request for more photos. Fill it out the same day; claims stall when the store is waiting on you.
- If the store offers a repair, ask what happens if the technician cannot fix it. Get a commitment that a replacement follows.
- A partial refund to keep the piece is fair only for cosmetic damage you can live with. Do not accept it for structural damage like a cracked frame.
- If the store blames the delivery company and the delivery company blames the store, reply to both on one email and ask who owns the claim. If you paid by card and get nowhere in two weeks, a dispute with your card company is the next step.
