Email template for a final notice before filing a chargeback

You paid by card for something you did not get, or got in a state you cannot use, and the merchant has failed to fix it after you asked more than once. A chargeback is when you ask your card issuer, the bank behind your credit or debit card, to reverse the charge because the merchant did not deliver. Card issuers expect you to have tried to resolve it with the merchant first, and most give you at least 60 days from the statement date to dispute. This email is the last step before that. It is not a threat; it is a courtesy, a dated summary that gives the merchant one clear final chance and becomes the evidence you attach to the dispute.

Before you send

  • The full timeline: order or service date, amount charged and the date it appeared on your statement, every message you sent asking for a fix, and every reply you got. Dates on each line.
  • The order, invoice, or case numbers, and the last four digits of the card used, so the merchant can find the transaction.
  • The statement date for the charge. Count 60 days from it and make sure your deadline for the merchant leaves you at least a week to file with the card issuer before then.
  • Your evidence, gathered in one place: the confirmation, tracking, photos, and copies of earlier emails. You will need them for the dispute anyway.
  • A quick look at your card issuer's dispute process, usually a form in the app or a phone number on the back of the card, so you can act the day your deadline passes.

Dear [merchant name],

This is my final request to resolve order #[order number] before I dispute the charge with my card issuer.

Summary of what has happened:

- [Date]: I paid $[amount] for [item or service]. The charge posted to my card ending in [last four digits] on [statement date].
- [Date]: [What went wrong, such as "the item never shipped" or "the service was cancelled by you and no refund was issued"].
- [Date]: I emailed asking for [a refund / the item / the service]. [Their reply, or "I received no reply."]
- [Date]: I followed up again. [Their reply, or "No reply."]

I'm asking for a full refund of $[amount] to the original card by [deadline date, about 7 to 10 days out]. If I haven't received the refund or a written confirmation that it has been issued by then, I'll file a dispute with my card issuer for [goods not received / services not rendered] and include this email and the earlier correspondence.

I'd much rather settle this directly, so please let me know as soon as it's been processed.

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • Merchants often pay attention at this point, because a chargeback costs them a fee and counts against them with their card processor. A refund within a few days is the common outcome; watch your statement rather than trusting a "processed" reply, since refunds can take 5 to 10 business days to appear.
  • A bad answer is a partial refund or a store credit offered as if it settled the matter. Reply once, say you are asking for the full amount to the original card, and repeat the deadline.
  • If the deadline passes with nothing, file the dispute the same day. Provide the timeline, the emails, and your evidence. Do not keep negotiating with the merchant after filing; let the issuer handle it.
  • Once you file, the merchant may contact you offering a refund. Tell them the dispute is open and they should respond through the card network; accepting a separate refund while the dispute is pending can get messy.
