Email template to complain about a spa service

You paid for a treatment and it was not what you paid for. The 90-minute massage was 60 minutes, the facial left your skin red and stinging for days, the wax burned you, the therapist was not the one you booked, or the room was cold and noisy and nobody cared. You did not make a scene at checkout, or you did mention it and were brushed off, and now you want it put right.

Email the manager or owner rather than calling the front desk. The person answering the phone cannot refund anything, and a complaint about a treatment needs someone to talk to the therapist and look at the appointment record. Writing it down also forces you to be specific, which is what gets results. A short, factual note that asks for one remedy is far more likely to get a yes than a long angry one.

Before you send

  • The date, the time, the treatment you booked, and the name of the therapist or esthetician, from your receipt or booking confirmation.
  • What went wrong, in plain terms, and when you noticed. If it is a skin reaction or a burn, take photos the same day and note the date on them.
  • If you said something at the time, who you told and what they said. If you did not, that is fine, but say so honestly rather than leaving it out.
  • The remedy you want: a full refund, a partial refund, or the treatment redone by a different therapist at no charge. Pick one and say it.
  • If there was a medical follow-up, such as a visit to a doctor for a burn, keep the receipt. You can ask to be reimbursed for it.

[If you raised it at the time, add one sentence here: who you told, when, and what they said. Otherwise say that you did not raise it at the time because you were not sure how bad it would be.]

I'd like to ask for [the one remedy you want, such as a refund of the amount you paid, a redo with a different therapist at no charge, or a refund of the difference for the time you did not receive]. I've enjoyed visits to your spa before and I'd like to be able to come back, which is why I'm writing to you directly rather than leaving a review.

Could you let me know how you'd like to handle it by [date, about a week out]?

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • A good manager replies within a few days, apologizes, and offers either what you asked for or something close, like a credit plus a partial refund. If a credit is offered and you would genuinely go back, it is a fair outcome. If you would not, say so and ask again for the refund.
  • If the reply blames you, for example "you should have said something during the session," restate the facts once without arguing and repeat your ask. Then stop replying to the back-and-forth.
  • If there is no reply after a week, forward the email to the owner if the manager is not the owner, or to the corporate customer care address if it is a chain.
  • If you paid by card and the spa refuses a refund for a service that was clearly not delivered, such as a shortened treatment, a dispute with your card issuer is an option, typically within about 60 days of the statement date.
