Email to ask a spa how to use a gift card
Someone gave you a spa gift card and you want to use it without an awkward moment at the front desk. Maybe the card is a couple of years old, the spa has changed hands or names since it was bought, you cannot tell the balance, or you are not sure whether it covers a specific treatment, products, or the tip. You want a straight answer before you book.
Email works well here because you can send a photo of the card and get the spa to look it up in their system. It also gets the answer in writing, which matters if the card is old. Under federal law, a gift card cannot expire sooner than five years from the date it was bought or last loaded with money, and some states go further and do not allow expiration at all. A spa that says "sorry, that expired" a year after purchase is wrong, and a written reply is what you would point to.
Before you send
- The gift card itself. Note the card number, any PIN, the amount printed on it if there is one, and the purchase date if it is written anywhere. Take a clear photo of the front and back.
- Who gave it to you and roughly when, in case the spa needs to look up the purchase under their name.
- The treatment you want to use it for and a couple of dates that work for you, so the spa can answer availability in the same reply.
- Whether you plan to tip from the card or separately. Many spas do not let gratuity come off a gift card, and it is better to know now.
- If the spa has changed names or owners, the old name. Cards from a previous owner are sometimes honored and sometimes not, and asking politely is how you find out.
Hi [spa name] team, I was given a gift card for your spa and I'd like to use it. Before I book, could you help me with a few quick questions? The card number is [card number], and I've attached a photo of the front and back. It was purchased around [month and year] by [giver's name, if you know it]. - What is the current balance on the card? - Can it be used for [the treatment you want], and can any remainder go toward products or gratuity? - Does it have an expiration date on your end, and if so, what is it? - Do I need to bring the physical card, or is the number enough? I'd like to book [the treatment] on [date or a couple of options], ideally around [time]. If you can check availability at the same time, that would be wonderful. Thanks so much, [Your name] [Your phone number]
Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.
After you send
- Most spas reply within a day or two with the balance and a booking offer. If they cannot find the card, give them the giver's name and the approximate purchase date and ask them to search by that.
- If the reply says the card has expired, ask when it was purchased. If that date is less than five years ago, reply that federal law sets a five-year minimum and ask them to honor it. Stay friendly. It is usually a front-desk misunderstanding, not a policy.
- If the spa has changed owners and will not honor the old card, ask whether they will offer a partial credit as a courtesy. Some do. If not, the person who bought the card may be able to dispute the charge with their card issuer if the purchase was recent.
- Once you book, ask them to note on the reservation that you will be paying with the gift card, so it is not a surprise at checkout.
