Email template to complain about a hotel room

Something was wrong with your room and the front desk either could not fix it or brushed it off. A broken air conditioner, a room that was not cleaned, noise all night from construction, a bathroom that did not match the photos. You want the hotel to make it right, either with a working room while you are still there or with money back after you leave.

Email is the right channel once the front desk has failed. A written complaint reaches the general manager, who has the authority to refund nights, and it creates a record you can forward to your credit card company or the hotel brand's customer care line if the property itself does nothing. A phone call leaves you with nothing to point to.

Before you send

  • Your confirmation number, the room number, and the exact dates you stayed. The manager will pull up your folio, which is the hotel's itemized record of your stay, and needs these to find it.
  • A short, factual list of what was wrong, with the day and roughly the time you noticed each problem.
  • Who you told and when. Note the name of the front desk person and what they said, even if it was just "we'll send someone up."
  • Photos if you took any. Mention them in the email and attach them; a picture of a stained mattress ends most arguments.
  • What you consider fair. One night refunded, a percentage off, or points if you are a member of their loyalty program. Pick one and say it.

I reported this to [name of staff member] at the front desk on [day and time]. [What happened next, for example: they said maintenance would come, but nobody did, and no other room was offered.] I've attached [photos / a short video] so you can see what I mean.

I think a fair resolution is [one night refunded to my card / a 30 percent credit on the room charges / a specific number of loyalty points]. Could you let me know by [date, about a week out] whether you can do that? I'd rather sort this out with you directly than go through the card company or the brand's customer care line.

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • A good hotel responds within two or three business days with an apology and a concrete offer. If it comes as points or a free future night and you wanted cash, it is fine to reply once and say you would prefer the refund to your card.
  • A bad answer is a form apology with no offer, or a claim that "no issues were logged." If that happens, reply with the staff member's name and the time you reported it, and copy the brand's guest relations email if the hotel is part of a chain.
  • If you hear nothing within a week, send one short follow-up. After that, a dispute with your credit card company is the next step; you generally have 60 days from the statement date, and your emails and photos are exactly what the card issuer will ask for.
  • Walk away from a small refund fight when the amount is less than the time it costs you. Leave an honest review with the facts instead.
