How to email a church to arrange a funeral or memorial service

Someone has died and you are the one arranging the service. You want it held at their congregation, or at one that means something to the family, and you need to know quickly whether the building and the clergy are available, what the service will look like, and what it costs. A funeral home may handle the body and the burial; the place of worship handles the service itself, and the two have to be coordinated.

Email works here even in the first days, because you can send it at midnight, it reaches the office and the clergy at once, and the answers arrive in writing when you are too tired to remember a phone call. Keep it short and factual; nobody expects polish from you this week.

Before you send

  • The name of the person who died, their relationship to you, and their connection to this congregation, if any.
  • The funeral home you are working with, if you have one, and whether the body will be present (a funeral) or not (a memorial service). The congregation will need to talk to the funeral home directly.
  • Two or three possible dates. Give a window rather than one day; clergy schedules fill and some traditions have their own timing rules.
  • Whether you would like a reception in the hall afterward, and a rough headcount.
  • Any wishes the person expressed about the service: readings, hymns, a particular clergy member.

We're working with [funeral home name and phone] and are hoping for a [funeral with the casket present / memorial service] on [preferred date] or, if that isn't possible, [alternative dates]. We expect around [number] people. [He/She] asked for [any specific wishes, for example "the 23rd Psalm and 'Amazing Grace'"].

Could you let me know:

- Whether the sanctuary and a member of the clergy are available on those dates
- Who I should speak with about the order of the service
- Whether the hall could be used for a reception afterward
- The fees for the building, clergy, organist and staff

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • Congregations treat these as urgent. Expect a call or a reply the same day, usually from the clergy member who will lead the service, asking to meet with the family. That meeting is where readings, music and eulogies get decided.
  • Once a date is set, tell the funeral home the same day. The two offices will coordinate the casket, the cars and the timing between them, but only if both know the date.
  • Fees for a member are often waived or small; for a non-member there is usually a building fee and honoraria (a customary payment) for the clergy and the musician. Ask for the total so you can put it in the funeral budget.
  • If the congregation cannot host on your dates, ask whether the clergy could lead the service at the funeral home's chapel instead. Many will.
