Email template to schedule a materials delivery from a building supply store
You have paid for an order, or you are about to, and now a truck full of lumber, drywall, or pavers has to show up on the right day, at the right spot, before your crew or your weekend starts. Deliveries go wrong in predictable ways: the truck comes when nobody is home, the driver drops the load at the curb because the driveway looked tight, or the order arrives a day after the framers did. Putting the details in an email, with the order number, lets the yard's dispatcher plan the truck and gives you written proof of what was promised if the load is late or lands in the wrong place.
Before you send
- Your order or quote number, and the name of the person who sold it to you.
- The delivery address and the exact drop spot: driveway, side yard, garage, or curb. Say whether a flatbed or a boom truck can get in, and mention anything in the way, like a low wire, a steep drive, or a gate.
- The day you need it, and the latest day that still works. Give a window, not just one date, and say whether morning or afternoon matters.
- Whether someone will be there to sign, or whether the driver can leave it. If nobody will be home, say where to leave the paperwork.
- Any items that need to come separately or covered, like drywall that cannot sit in the rain.

Delivery address: [full address] Where to place the load: [e.g. on the driveway, left side, clear of the garage door] Access notes: [e.g. the driveway is 10 feet wide with a gate that will be open; no overhead wires] The best day for me is [date], with [date] as a backup. Morning works better because [reason, e.g. my crew starts at 8]. Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.
After you send
- A good yard confirms a date and a window, usually a half day, within a business day. If they only say "sometime that week," ask again for a day.
- The day before, check that the drop spot is clear and the gate is open. Many yards charge a return-trip fee if the driver cannot get in.
- Count the load against your order before you sign. Shortages and damage are far easier to fix on the driver's paperwork than a week later.
- If the delivery misses the window and you had a crew waiting, tell the yard the same day and ask what they will do about it. Most will waive the delivery charge.
