Email template to ask a florist for a wedding flower quote

You have a wedding date and a venue, and you need flowers: a bouquet for the person walking down the aisle, boutonnieres (the small pinned flowers for the wedding party), pieces for the ceremony, and centerpieces for the reception tables. Florists price all of this by the stem and by the labor to build and deliver it, so two shops can be a thousand dollars apart for the same look.

Email is the right first move because a florist needs your date, venue, headcount and color palette before they can say anything useful, and you want those numbers in writing so you can lay three quotes side by side. A phone call gets you a range; an email gets you an itemized proposal you can hold them to.

Before you send

  • Your wedding date, ceremony and reception venue names, and the time the venue lets vendors set up. Florists check the date first, because they take a limited number of weddings per weekend.
  • A count of what you need: bouquets, boutonnieres, corsages, ceremony pieces, and how many reception tables need centerpieces.
  • Three to five photos of arrangements you like, ready to attach or link. Color words mean different things to different people; pictures do not.
  • A budget range you are comfortable sharing. Florists design to a number, and hiding it just adds a round of revisions.
  • Whether you want the florist to collect rentals (vases, arches, candle holders) after the event, since pickup is often a separate line.

After you send

  • A good florist replies with availability and either an itemized proposal or a short list of questions. Silence for a week on a date less than six months away is your answer.
  • Read the proposal for what is not there: delivery, setup, teardown, rental pickup and sales tax are the lines that show up later. Ask for the all-in total.
  • If the quote is over budget, do not walk away yet. Ask what they would cut to hit your number. Swapping expensive flowers for in-season ones and shrinking centerpieces usually closes the gap.
  • Get two more quotes with the same email and the same photos. Compare the totals, not the flower lists, and book the one whose proposal was clear and prompt.
