Email template to request your storage unit deposit refund after moving out

You have emptied your storage unit, taken your lock off, and told the office you are done, but the deposit you paid when you signed up has not come back. Many facilities collect a refundable security deposit at signing, separate from the first month's rent and from any one-time administrative fee (which is usually not refundable). The deposit is supposed to be returned once the unit is confirmed empty and clean. Putting your move-out in writing does two things: it fixes the date so the facility cannot keep billing you for a unit you no longer use, and it starts a paper trail if the refund does not arrive.

Before you send

  • Your move-out date and how you told the facility (in person, by phone, or through their website or app).
  • Photos of the empty, swept unit with the door open and your lock removed. Take them before you leave, with the date visible in the photo details.
  • Your rental agreement, so you know the deposit amount and whether the paperwork calls it a security deposit or an administrative fee. Only the deposit is normally refundable.
  • Your last payment and your billing date, and whether autopay is still on. Turn it off yourself if the site lets you.
  • Where you want the money sent: the card on file or a check to your mailing address.

I'd also like written confirmation that my account is closed and that no rent will be charged after [move-out date]. If autopay is still active on my account, please turn it off.

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • A well-run facility confirms the unit was inspected and refunds the deposit to your card within one to three weeks, or mails a check. Keep the confirmation email that says the account is closed.
  • A bad answer is a surprise cleaning fee, or a charge for a full extra month because you left after your billing date. Ask for the clause in your agreement that allows it and an itemized amount. Your photos are the answer to a cleaning claim.
  • If nothing comes back in three weeks, reply on the same email thread, then call and ask for the district manager. Facilities are often run by a small staff and things fall through.
  • If a new charge lands on your card after the move-out date, dispute it with your card issuer and attach this email as proof of when you left.
