Email template to request a replacement part from a manufacturer

A single piece of something you own has broken, gone missing, or worn out, and the rest of it is fine. A cracked lid, a lost remote, a snapped hinge, a filter housing. Replacing the whole product is a waste when the maker keeps spare parts, and many do for years after a model is discontinued. Email is the right channel because the maker needs the exact model and part identification to find it, and you need a written answer on price, availability, and shipping time before you decide whether to buy the part or move on. If the product is still under warranty, say so, because the part may be free.

Before you send

  • The model number and, if there is one, the serial number of the product. Makers often change parts between production runs, so the serial number tells them which version you have.
  • The name or number of the part if you can find it. The manual or the maker's support site often has an exploded diagram, which is a drawing with each part labeled by number.
  • A photo of the broken or missing part in place, and of the label with the model number. A photo settles most "which one do you mean" questions.
  • The purchase date and whether the product is still under warranty. A broken part inside the warranty period should be sent at no charge.
  • Whether you can install it yourself or will need a service center to fit it.

I'm able to install it myself once it arrives. If the part is no longer stocked, I'd be grateful for the name of an authorized parts supplier who might have it.

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • A good reply confirms the part number, quotes a price, and gives you a way to order. If they send you to a parts website, use the part number they gave you, not a guess.
  • If the part is discontinued, ask whether a newer part is compatible. Makers frequently make a later version that fits the older model.
  • If nothing comes back in five business days, resend with the case or ticket number if you got one, and try the maker's parts phone line with the same details in hand.
  • If the maker cannot help, search the part number on its own. Independent parts dealers and appliance-parts sites often stock parts the maker has stopped carrying.
