Email template to request an emergency plumbing quote
Water is coming from somewhere it should not, a drain has backed up, or the water heater has quit. You need someone today, and you are about to call the first number you find. Send an email first, or right after the call. Emergency plumbing is billed differently from a scheduled visit: there is usually an after-hours or emergency fee on top of the normal rate, and the trip fee, the flat charge for showing up, may be higher too. Two minutes of email to three plumbers gets you an arrival window and the fee structure in writing, so the bill at the end is not a surprise. Turn the water off at the main shutoff first if you can find it.
Before you send
- What is happening, in plain words: where the water is, whether it is still flowing, and whether you managed to shut it off. Do not diagnose; describe.
- Your address, the kind of building (house, condo, apartment), and where the problem is (basement, second floor bathroom, outside).
- A phone photo or short video of the problem. Attach it. Plumbers can often tell from a picture whether it is a two-hour job or a two-day one.
- Whether you own or rent. If you rent, your landlord may be the one who has to call, and the email is still useful to send them.
- The soonest you can be home to let someone in.

What's happening: [e.g. water is leaking from under the kitchen sink and the cabinet floor is soaked. I've shut off the valves under the sink and the leak has slowed but not stopped]. It started [when]. I've attached a photo. Could you let me know: - The earliest time you can be here today - Your emergency or after-hours trip fee, and whether it counts toward the repair - Your hourly rate for this kind of call, or a flat price if you can tell from the photo - Whether you'll give me a price before starting work I'm home now and can let someone in any time after [time]. My phone is [number] if it's faster to call, but please send the fees by email so I have them. Thanks, [Your name] [Your phone number]
Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.
After you send
- The plumber who answers first with a time and the fees is usually the right one. If they can be there in two hours and the fees are clear, book it and reply "confirmed" so it is in writing.
- Ask for the price before they start work. A plumber who will not quote until the job is done is not one you want on an emergency call.
- If the quote comes in far above the others, or the "diagnosis" turns into a much bigger job than the photo suggested, pay the trip fee, stop, and get a second opinion once the immediate leak is controlled.
- Keep the emails. If the bill later does not match what was quoted, they are your dispute.
