Email template to request a computer repair estimate

Your laptop or desktop is broken, slow, or refusing to start, and you want to know what a repair will cost before you hand the machine over. Repair shops almost always start with a diagnostic, which is a paid look at the machine to find the fault, and then quote the fix. Asking by email gets the diagnostic fee, the hourly rate, and the turnaround time in writing before you drive over, and it lets you send the same question to two or three shops. It also gives the shop the details it needs to tell you up front whether the job is worth doing, which a good shop will do when a repair costs more than the computer is worth.

Before you send

  • The make, model, and approximate age of the computer. The model number is on a label on the bottom of a laptop or the back of a desktop.
  • What is wrong, in plain terms: what you see, what you hear, and what happened right before it started. "It shuts off after ten minutes and the fan is loud" is far more useful than "it's broken."
  • Whether the computer is still under a maker's warranty. If it is, a third-party repair could void it, and the maker may fix it free.
  • Whether you have a backup of your files. If not, say so, because a shop should know to protect your data before it does anything.
  • Any password the shop will need to log in, which you can change afterward, and whether you want an estimate before any work beyond the diagnostic.

After you send

  • A good shop answers with a clear diagnostic fee, says whether it counts toward the repair, and gives a realistic range. Vague "bring it in and we'll see" replies with no numbers are a reason to try another shop.
  • Send the same email to two or three shops. Diagnostic fees and hourly rates vary widely, and a large gap on the estimate tells you something about the shop.
  • When the diagnosis comes back, ask what the part costs on its own. If the part plus labor approaches what a replacement computer costs, ask the shop for an honest opinion on whether to repair at all.
  • Keep the written estimate. If the final bill lands well above it without you approving the difference, that estimate is what you point to.
