Email template to request an official transcript from your college
You are applying to a graduate program, transferring, taking a job that wants proof of your degree, or sitting for a professional license, and they need an official transcript. An official transcript is the college's sealed record of your courses and grades, sent directly from the registrar to the recipient, as opposed to the unofficial copy you can print from a student portal. Many colleges now route orders through an online service, but you still end up emailing the registrar when the portal rejects your login, your name has changed, you graduated before the records were digitized, or a hold on your account is blocking the order. A clear email with everything they need to find you gets it done in one pass.
Before you send
- Your full name as it was when you attended, your date of birth, and your student ID number if you can find it. Old records are often filed under a maiden name.
- The years you attended and the degree or program, so the registrar can find the right file.
- Exactly where the transcript goes: the recipient's name, department, mailing address, and email if they accept electronic transcripts. Some recipients require paper; ask them first.
- The recipient's deadline, and whether they need a "degree conferred" transcript, which means one issued after your degree was formally posted.
- Whether you have any unpaid balance with the college. A financial hold is the most common reason a transcript does not go out, and some states now limit colleges from withholding transcripts over debt, but not all.

My student ID was [number], and my date of birth is [date]. Could you let me know the fee and how to pay it, whether you can send it electronically, and roughly how long it takes to go out? Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.
After you send
- A registrar's office usually replies within a few business days with a fee and a link or form. Electronic transcripts often arrive the same day they are processed; paper ones take a week or more, so order early.
- If they say there is a hold, ask for the exact amount and what it is for. Once paid, ask them to release the hold and send the transcript in the same reply. Do not assume it goes out automatically.
- Ask the recipient to confirm they received it. Transcripts sent to a general admissions inbox go missing regularly, and the fix is a second copy, not an argument.
- If a week passes with no reply, call the registrar's main line and reference your email by date. Registrars are small offices, and a phone nudge plus an email record is usually enough.
