Email template to cancel a charter bus and request a refund
The event is off, or you found another way to move the group, and you have a bus booked with money down. Charter contracts almost always use a sliding scale: cancel far enough out and you get everything back minus a processing fee, cancel closer and you get part, cancel inside the last week or two and you get nothing. The date you cancel decides which tier you land in, which is why this belongs in an email with a timestamp rather than a phone call nobody can prove happened. Even a deposit marked non-refundable is worth asking about: companies will often refund it if they rebook the bus for that date, or hold it as a credit toward a future trip.
Before you send
- Your confirmation number, the trip date, the total price, and what you have paid so far, with the date and method of each payment.
- The cancellation clause from your contract, copied word for word. Count the days from today to the trip and work out which tier you are in before you write.
- Your fallback. If a refund is not available under the terms, decide whether you would take a credit toward a future booking.
- If the company caused the cancellation (no bus available, a changed itinerary you did not agree to), note that; you are owed a full refund regardless of the schedule.
- If you paid by credit card, the statement date. A card billing dispute is typically available within 60 days of the statement, and it is your backstop if a refund you are owed does not arrive.

[One sentence on why, e.g. the event has been called off.] Today is [date], which is [number] days before the trip. Our contract's cancellation terms say [quote or paraphrase, e.g. cancellations more than 30 days out receive a full refund less a $100 processing fee]. I paid $[amount] on [date] by [card / check / bank transfer]. Please confirm the cancellation in writing and refund $[amount owed under the terms] to [the same card / my account] within [number of days, e.g. 14]. If any part of the payment is non-refundable under the terms, could you let me know whether it can be held as a credit toward a future booking, or refunded if you rebook the bus for that date? Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.
After you send
- Expect a written confirmation and a refund matching your tier. A card refund usually takes five to ten business days to show up after the company processes it.
- A bad answer is silence, or "the deposit is non-refundable" that ignores the tier you are in. Reply once, quoting the clause and your cancellation date, and ask for the refund by a specific date.
- If you are inside the no-refund window, ask plainly for a credit or a refund if they rebook. Companies say yes to this more often than you would expect, because it costs them nothing.
- If a refund you are owed under the contract has not arrived in about 30 days, file the card dispute, send a complaint to your state's consumer protection office, or take it to small claims court.
