Email template to request an account statement

You need a record of your account for a stretch of time and the online portal only shows the last few months, or the account moved to a new servicer and the older history vanished, or someone else (a mortgage underwriter, a tax preparer, a court) has asked you for an official copy. A statement is simply the company's record of everything that happened on the account in a period: payments in, interest and fees charged, and the balance at the start and end. Asking by email lets you spell out the exact dates and what the statement must show, and it dates your request in case the company is slow or charges for older records.

Before you send

  • The account type and the last four digits of the account number. Do not put the full number or your login in the email.
  • The exact date range you need. "The last year" is vague; "January 1 through December 31" is not.
  • What the statement has to show. If someone asked you for it, use their words: "twelve months of payment history" or "year-end interest paid."
  • The format. A PDF by email is fastest. If the person asking wants it on letterhead or signed, say that up front so you do not have to ask twice.
  • Your deadline, and whether you are willing to pay a fee for older paper records, since some companies charge for anything past a year or two.

- Every payment received in that period, with the date each was posted
- Interest and any fees charged
- The balance at the start and at the end of the period

A PDF sent to this email address is ideal. If you can only mail it, my address on file is current. [If the statement needs to be on your letterhead or signed, say so here.]

I need it by [date]. If there is a fee for this or a form I need to complete first, please let me know before you process the request.

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • Most companies send a statement within five to ten business days. Some send you to the online portal first; if the portal does not cover your dates, reply and say exactly which months are missing.
  • If your loan was transferred to a new servicer, the old servicer still has to give you the history for the months they held it. Ask both companies for their own periods.
  • When the statement arrives, check it against your own bank records. A payment that is missing or posted on the wrong date is worth disputing in writing right away.
  • If nothing arrives after two weeks and a follow-up, ask for a supervisor and note that you requested it on a specific date.
