Email template to place a bulk order with a bakery
You need twelve dozen cookies for a school fundraiser, eighty croissants for a Monday morning meeting, or two hundred cupcakes for a company picnic. A bakery can handle it, but not from the counter on the day. Large orders go into the oven schedule days ahead, and most bakeries give a discount on big quantities that they won't mention unless you ask. Email is the right way to order because the details are exactly the kind that get lost on a phone call: how many of each item, how they're boxed, whether each cookie is wrapped, and whether "ready at 8" means 8 sharp. You'll also have a written order to check against when you pick it up.
Before you send
- The date and the time you need the order in hand, and whether you'll pick it up or need it delivered. Add the delivery address if so.
- The items and the quantities, item by item. "Assorted" is fine for flavors if you say the total count.
- How you want it packaged: on trays ready to serve, individually wrapped for a bake sale, or in boxes of a dozen for handing out.
- Any dietary requirements and how many pieces need to meet them. A nut-free order may mean the bakery has to schedule it first thing in the morning.
- How you'll pay. Businesses and schools often need an invoice; say so if you do, and give the name it should be made out to.
Hi [bakery name] team, I'd like to place a large order for [event or purpose] on [date]. I'd need it [ready for pickup at your shop / delivered to address] by [time]. Here's what I'm hoping to order: - [quantity] [item, e.g. chocolate chip cookies] - [quantity] [item, e.g. assorted muffins] - [quantity] [item, e.g. vanilla cupcakes with simple frosting] Of those, [number] should be [nut-free / gluten-free / vegan] and marked so we can tell them apart. I'd like everything [individually wrapped / arranged on trays / boxed by the dozen]. Could you confirm you can do this, send me the total including any bulk pricing and delivery fee, and let me know the deposit and the last date I can change the quantities? If you need an invoice made out to [organization name], please let me know what details you need. I'd like to lock the order in by [date]. Thanks, [Your name] [Your phone number]
Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.
After you send
- A good reply confirms every line, gives a total, and names a cutoff for changes, usually 48 to 72 hours before pickup. Reply to confirm and treat that email as your order sheet.
- If the total is higher than expected, ask whether a simpler version of the same item (undecorated cupcakes, one flavor instead of five) brings it down. Decoration and variety drive the price more than quantity.
- Confirm the pickup time the day before in the same thread. Bring the email; the person at the counter that morning may not be the one who took the order.
- If a bakery won't confirm quantities or a price in writing, or says "come by and we'll see," order somewhere else. A bulk order with no paper trail is how you end up with half the cookies.
