Email template to enroll your child in a public school
You have moved into a new school district, your child is starting kindergarten, or you are switching schools mid-year, and you need to get them registered. Public schools enroll by where you live, so the first question is which school your address is zoned for, and the second is what paperwork they need to see. The front office is busy, especially in August, and a phone call gets you a list you scribble down and half forget. An email gets you the list in writing, lets you attach documents ahead of time, and gives you a name to follow up with. It also puts a date on your request, which matters if enrollment takes longer than it should and your child is missing school.
Before you send
- Your child's birth certificate or passport, and their full legal name and birth date as it appears there.
- Two proofs of your address, such as a lease, mortgage statement, or utility bill. Districts vary, but two is the usual ask.
- Your child's immunization record from the doctor. Every state requires it, and missing shots are the most common reason enrollment stalls.
- The name and address of the previous school, plus a recent report card or transcript if you have one. The new school will request the official records itself.
- Any special education plan, called an IEP, or a 504 plan for accommodations. Bring these on day one so services continue without a gap.

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.
After you send
- The registrar usually replies within a few days with a checklist and a form link. If a document on their list is one you don't have, ask what they accept instead; most districts have alternatives for families who are between addresses.
- Federal law requires schools to enroll a child whose family lacks a permanent address right away, without waiting for documents. If that is your situation, say so, and ask for the district's homeless liaison.
- If a week passes with no reply, forward the email to the district's central enrollment office. Most districts have one, and it can push a school along.
- Once your child is registered, ask for written confirmation of the start date, the teacher's name, and the bus or pickup arrangement.
