Email template to complain about a wrong cake order

The cake arrived with the wrong name, the wrong flavor, a design nothing like the photo you sent, or it slid in the box and showed up in pieces. Or it didn't arrive at all. The party still happened, so you can't return the cake, but you paid for something you didn't get and the bakery should make it right. A phone call the morning after tends to go in circles because whoever answers wasn't there. Email lets you show what you ordered next to what you received, in photos, and ask for a specific amount back. It's also what the bakery owner will want to see before they refund anything, and it's the record you'll need if you end up asking your card company to reverse the charge.

Before you send

  • Your order confirmation: the date you ordered, what it said, and what you paid. If you sent a reference photo for the design, have it ready to attach.
  • Photos of what you received, taken before it was cut if you have them. A photo of the misspelled name or the collapsed tier says more than a paragraph.
  • What exactly was wrong, in plain terms: wrong flavor, wrong inscription, wrong size, damaged, late by how long, or never delivered.
  • What you think is fair. A misspelled name might be worth a partial refund; a cake that was inedible or never came is worth all of it.
  • A calm tone. Bakeries are small businesses and most owners will fix a genuine mistake if you give them a clear ask and a way to do it.

I ordered a [description, e.g. two-tier vanilla cake with "Happy 40th Maria" in blue] from you for [date], order number [order number], and paid [amount] on [date].

Unfortunately the cake we received [had the name spelled "Marie" / was chocolate instead of vanilla / arrived with the top tier collapsed / was delivered two hours after the party started / never arrived]. I've attached my order confirmation, the reference photo I sent, and photos of what we got.

Given that, I'd like to ask for [a full refund / a refund of half the price, since we were able to serve it but it wasn't what we ordered] to the card I paid with. If you'd rather make it right another way, I'm open to hearing it.

I'd appreciate a reply by [date, about a week out]. We've ordered from you before and I'd like to keep doing so.

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • A good response is an apology and a refund, or a refund plus a credit. Card refunds take three to five business days to appear.
  • A poor response blames delivery, the weather, or the "as close as possible" clause in their terms. Reply once: restate what the confirmation said versus what you received, with the photos, and repeat the amount you're asking for.
  • If they offer only a store credit for a cake you never received, say a refund is what you need. A credit is reasonable for a small mistake, not for a missing order.
  • If there's no reply after about ten days or a flat refusal, dispute the charge with your card issuer. Most allow disputes within 60 days of the statement date, and your email thread with photos is exactly what they ask for.
