How to email a bank to close an account
You are switching banks, consolidating accounts, or simply done paying a monthly fee for an account you do not use. Some banks and most credit unions will not close an account on an email alone; they may want a signed form, a call, or a visit. Writing first is still the right move. It puts a date on your request, so any fee charged after that date is one you can ask to have refunded, and it forces the bank to tell you in writing exactly what they need instead of sending you around in circles. It also gets your instructions for the leftover balance on record so the money does not sit in limbo.
Before you send
- Move your direct deposit and every automatic payment to the new account first, then wait one full statement cycle to be sure nothing is still hitting the old one. A payment that lands on a closed account bounces and costs you a fee on the other end.
- Leave enough money in the account to cover anything still pending, or the closing will fail. Once it has settled, you can bring the balance to zero or leave it for the bank to send you.
- Decide where the remaining money should go: a check to your mailing address or a transfer to another account.
- Check the account's age. Some banks charge a fee for closing an account opened in the last three to six months; ask if it applies.
- Use only the last four digits of the account number. Never put the full number, your login, or a password in an email.
Hi [bank name] team, Please close my [checking / savings] account ending in [last four digits], effective as soon as possible. I've already moved my direct deposit and automatic payments elsewhere, and there are no pending transactions that I'm aware of. Please send the remaining balance of about $[amount] [by check to my mailing address on file / by transfer to the external account I've linked in online banking]. Could you confirm in writing: - The date the account is closed - That no further fees will be charged after that date - How and when the remaining balance will be sent If closing requires a signed form or a phone call to verify my identity, please send the form or let me know the best number and hours to call. Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.
After you send
- Expect either a confirmation or a request for a form or an identity check. A bad reply is "please visit a branch" with no other option; ask for a mailed or electronic form instead, since branches are not always practical.
- Once the bank says the account is closed, ask for that in a letter or email and keep it for at least a year.
- Watch your old login or the mail for the next two months. A stray deposit or refund can reopen a closed account and start fees again; if that happens, send this email again and point to the earlier closure date.
- If the bank charged a fee after the date of your request, ask for it back and attach your original message.
