Email template to cancel a gym membership

You want to stop paying for a gym and you have learned, or suspect, that walking up to the front desk will not do it. Gym contracts are famous for making cancellation harder than signing up: some require notice thirty days ahead, some only accept a letter by certified mail or a form filled out in person, and many keep billing until the exact steps in the contract are followed. Emailing your cancellation creates a dated record that you asked, which matters if a charge shows up next month. It also forces the gym to tell you in writing what their process is, so you can do it once and be done.

Before you send

  • Your contract, or at least the cancellation section of it. Look for the notice period, the accepted methods of cancelling, and any early-termination fee.
  • Your member number and the email or phone number on the account, so they can find you.
  • The date you want the membership to end, allowing for the notice period. If your contract says thirty days, pick a date at least that far out.
  • Your last billing date and amount, so you know what a correct final charge looks like.
  • Any reason that may waive a fee, such as moving more than a set distance from every location or a medical condition. Many contracts include one of these, and some states require it.

I'm writing to cancel my membership. My details:

Please end my membership effective [date], which is [number] days from today and meets the notice period in my agreement. [If a reason in your contract waives the fee, such as moving beyond a set distance from every location, state it here with the city and distance; otherwise delete this sentence.]

Please confirm by reply that the cancellation has been processed, the date of my final charge and the amount, and that no further payments will be taken. If your agreement requires a specific form or a different method, please send it to me today so I can complete it before the notice period runs.

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • A proper reply confirms the end date and the final charge. Save it. If they instead point you to a form or an in-person visit, do that step right away and keep the email as proof of when you first gave notice.
  • Watch your bank or card statement for the next two cycles. If a charge appears after the end date, reply to the same email thread with the confirmation attached and ask for a refund.
  • If they keep charging, you can dispute the charge with your bank or card company. Your dated cancellation email and their confirmation are exactly the evidence the bank wants.
  • Do not just cancel the card. Many contracts treat that as non-payment and send the balance to collections, which is a worse outcome than one more month of dues.
