Email template to ask a vet for a treatment estimate

Your pet needs a procedure that is not an emergency, such as a dental cleaning, a spay or neuter, a lump removal, or a course of treatment for a diagnosed condition, and you want to know the cost before you commit. Vet bills vary a lot between clinics, and a single procedure usually comes with extras that are easy to miss: pre-surgery bloodwork, anesthesia, pain medication to take home, and a follow-up visit. A written estimate is a normal thing to ask a clinic for. Most will provide one, and having it by email means you can compare it with another clinic's and you have a record of what was agreed if the final bill is different.

Before you send

  • Your pet's species, breed, age, and weight. Anesthesia and medication are dosed by weight, so the price depends on it.
  • The procedure, and any diagnosis or recommendation you already have. If another vet has already examined your pet, have that clinic's notes or their estimate handy.
  • Recent bloodwork or X-rays, if any, and when they were done. A clinic may accept recent results instead of repeating them.
  • Whether you have pet insurance. It does not change the clinic's price, but it changes what you need itemized for the claim.
  • One or two other clinics to ask. Prices for a routine dental cleaning can differ by several hundred dollars within the same town.

- Pre-anesthetic bloodwork and any imaging
- The procedure itself, including anesthesia and monitoring
- Medications to go home with, and any follow-up visit

[Mention any recent bloodwork or imaging and its date, and offer to have it forwarded, or delete this sentence.] If the estimate is a range, I'd appreciate knowing what moves it up or down. I'm hoping to book within [timeframe].

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • A good clinic replies with an itemized estimate, often as a low and a high figure. If you only get a single lump sum, ask for the line items; you need them to compare clinics fairly.
  • Ask whether the estimate is a fixed price or could rise once they start. For surgeries, it is normal for the clinic to call you mid-procedure if they find something, so ask how they handle that.
  • Check what is not included. Extractions during a dental cleaning, an e-collar, and the recheck visit are the usual surprises.
  • If the estimate is well above another clinic's, share the other number and ask whether they can get closer. If they cannot, and both clinics are reputable, the lower one is a fine choice.
