Email template to ask a daycare where you stand on the waitlist
You put your child on a daycare's waitlist weeks or months ago, maybe paid a fee to hold the place, and you have heard nothing since. A waitlist is the center's list of families waiting for a spot in a specific age room, and it moves only when a child leaves or ages up into the next room. Centers rarely call to say "you are number four." You have to ask. Asking by email gives you a dated answer you can compare with what they tell you next month, and it puts a note in your file that you are still interested, which at many centers is what keeps you from quietly being dropped.
Before you send
- The date you joined the waitlist and any confirmation you got at the time, including a receipt if you paid a waitlist fee.
- Your child's name and birth date. The center sorts the list by age room, so they need to know which room you are waiting for.
- The start date you need, and whether it can move. Flexibility on the date or on part-time days can jump you ahead.
- Whether you would take a spot in a different room or at a sister location if one opened sooner.
- Your fallback plan and its cost, so you know how long you can afford to wait.
Hi [director's name], I added my [son / daughter] [child's name] (born [birth date]) to your waitlist on [date you signed up] for a [full-time / part-time] spot in the [infant / toddler / preschool] room, starting around [month year]. I paid the waitlist fee of [amount, or say none] at that time. Could you let me know where we currently stand on the list and, roughly, when you expect a spot to open for that room? I understand you can't promise a date, but even a best guess helps us plan. A few things that might help on your end: we could start as early as [earliest date], we would consider [part-time days / a different room / your other location] if that opened sooner, and we are happy to come in for a tour or paperwork whenever you need. We are still very interested. Please keep us on the list, and let me know if there is anything else you need from us. Thanks, [Your name] [Your phone number]
Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.
After you send
- A good answer names your position or a range ("you're in the top five for the toddler room") and a likely month. A vague "we'll let you know" is normal but not useful; reply and ask for a number.
- If you are far down the list, ask what would move you up. Siblings of current families, full-time over part-time, and a flexible start date are the usual levers.
- Check back every four to six weeks with a short reply on the same email thread. Families who go quiet are the first to be dropped when the list is cleaned up.
- If the likely opening is past the date you can wait, take the fallback and ask to stay on the list anyway. Spots open at odd times, and switching later is easier than starting from nothing.
