Email template to ask a seller about a used car's history and condition

You have found a used car online, at a dealership or from a private seller, and you want to know what you are getting before you drive across town. Listings say "runs great" and show ten photos of the good side. What you need are facts: the accident and title history, whether it has been maintained, what is wrong with it right now, and whether the seller will let a mechanic of your choosing look at it. Asking by email gets the answers on record. If a seller later says "I never told you it was accident-free," you have the message where they did. It also filters out sellers who will not answer plain questions, which tells you something on its own.

Before you send

  • The VIN, the 17-character vehicle identification number from the listing. With it you can pull a vehicle history report yourself (Carfax and AutoCheck are the usual paid ones, and the free NICB check flags cars reported stolen or totaled).
  • The mileage and price from the listing, so your questions refer to a specific car and the seller cannot swap in a similar one.
  • A local independent mechanic who does pre-purchase inspections, usually for around $100 to $200. You will ask the seller to allow one.
  • A short list of what matters most for that model. A quick search for "[model year] common problems" turns up the two or three things worth asking about by name.
  • Whether the car is at a dealer or with a private owner. A dealer should have a history report on hand; a private seller may not, and that is fine.

- Do you have a vehicle history report you can send me, and does it show any accidents or a salvage, rebuilt or flood title?
- How many owners has it had, and how long have you had it?
- Do you have service records? I'd mainly like to know when the [oil / brakes / tires / timing belt or other item] were last done.
- Is there anything not working right now, any warning lights, or any known issues with [a model-specific item you found]?
- Would you allow a pre-purchase inspection by an independent mechanic of my choice, at my expense?

I'm a serious buyer and can come see the car [this week / on a specific day] if the answers check out. Thanks for your time.

Everything in brackets is yours to fill in. Keep the rest as it is or change the tone to match how you write.

After you send

  • A good seller answers every question, attaches the report or records, and says yes to the inspection. Missing records are normal; refusing the inspection is not, and is your cue to move on.
  • Run the VIN through a history report yourself even if the seller sends one. Compare the accident and title lines; a seller's copy can be old.
  • If the answers reveal a problem, do not drop the car automatically. Get a repair quote and use it to negotiate the price down.
  • If the seller dodges the VIN, the title question or the inspection, or keeps saying "just come look at it," walk. There are always more used cars.
